Frequently Asked Questions

For more than 15 years, the Tracy Family Foundation has used the same online system, Cybergrants, to manage grant applications and reporting. This year, we will be transitioning to a new grants management portal, SmartSimple, designed to provide a simpler, more straightforward experience for our nonprofit partners.

This change was informed by feedback from our grantees and applicants. We heard that our current system could be easier to navigate, and we are excited to introduce a platform that will make it more user-friendly to apply for funding, complete grant requirements, and access important information.

+ Why is TFF changing grant management systems?

For several years, organizations and schools have shared that our current grant management system, Cybergrants, is challenging to navigate and clunky. Informed by this feedback and after a thorough review of alternative systems, we’ve decided to switch to a new grant management system, SmartSimple. We believe that SmartSimple will provide an easier, more straightforward experience for our partners to apply for funding, complete grant reporting, and manage organization grant history.

+ When will the new system go live?

The new system will go live in January 2027.

+ How will this transition impact due dates for Cycle 1 2027 grant applications?

  • Interest forms for Cycle 1 annual grant applications and 2027 rolling grant applications will open in SmartSimple no sooner than January 15th, 2027. We will update this timing as we get closer to the launch. You will not be able to submit an interest form for Cycle 1 2027 in Cybergrants.
  • Cycle 1 interest forms will be due on February 1st, 2027.
  • Full applications for Cycle 1 will be due on March 10th, 2027.

+ How will the transition impact 2026 and 2027 rolling grant applications?

  • Interest forms for 2026 rolling grant applications are due by November 1st.
  • Full applications for 2026 rolling grants are due by December 1st.
  • No rolling grant applications will be accepted in Cybergrants after December 1st.
  • 2027 rolling grant interest forms will open no sooner than January 15th, 2027.

+ How should we manage Final Impact Reports that aren't due until after the transition?

  • If you have a Final Impact Report that is due at the end of 2026 or in early 2027 and you are able to complete that report early, please do so by December 1st.
  • We are working on a process for all other reports and will provide more information as we move through the transition.

+ When will we lose access to Cybergrants?

  • Cybergrants access will be shut off on December 15th.
  • More information will come on what will be transferred over to the new system and what data you might want to download prior to the transition.
